Connecting and working with QuickBooks Online

QuickBooks Online supports live synchronization for configured master data, invoices, bills, payments, and selected costs.

Best for: Organization administrators and accounting teams · Requires: Integration administration access.

At a high level:

  1. Open Organization Settings and the Integrations area.
  2. Connect QuickBooks and complete authorization.
  3. Configure the required default accounts and retention items.
  4. Confirm which projects and mappings are in scope with Constructable.
  5. Validate representative records before relying on broader sync.

Supported configurations can map cost codes, cost types, companies, projects, subprojects, Prime invoices, vendor invoices, credits, payments, bills, purchases, and Receipts.

Projects can be excluded from accounting integrations. An excluded project should not be expected to create the normal QuickBooks project/customer link.

In the recurring example, the approved concrete invoice is eligible to become a QuickBooks Bill only after its vendor and project links are valid.
