Directory by Constructable
Subcontractor directory and insurance tracking software for general contractors
Our subcontractor directory and insurance tracking software keeps every sub, contact, and certificate of insurance in one list for the whole company. Each certificate gets an AI first review against your requirements, and one report shows what expires next. The directory comes with every plan, and we do flat pricing with unlimited users.
Companies and people
Every sub you've worked with, in one directory
Global Directory holds the companies and people your whole company works with. Every project picks from the same list, so nobody keeps their own spreadsheet of subs.
• Finding a drywall sub: the Companies grid shows each company's trades, type, active members, and date added, and filters by type
• Who's worked with them before: a company's profile lists every project it's on
• Who gets the bid invite: mark people as Bidding or Invoice contacts, and switch a big sub's roster to a grid with a column for each
• What the last PM learned: keep general notes on companies and people

Clean records
One record per sub, even when someone types it twice
Add Company shows similar companies and warns about duplicate names before you save. When a duplicate gets in anyway, merge it into the company you keep.
• What moves over: people, trades, aliases, commitments, payments, insurance, bids, and project associations
• Before you confirm: the dialog names the company that goes away and warns that the merge can't be undone
• Who can merge: Admins, by default. Merging is turned off while an accounting integration is on

Insurance policies
Keep each sub's certificates of insurance on file
Insurance lives on the company. Add each policy with its type, effective and expiration dates, notes, and the certificate attached, and it's there for every project and report that needs it.
• A job needs its own certificate: on a project, a company's policies split into This Project's Policies and the company-wide ones, so the job's certificate doesn't replace the directory copy
• Licensing: record the contractor license number, its expiration date, and attachments under Compliance Information
• Your policy types: general liability, auto, umbrella, workers' comp, or whatever your contracts call for

AI certificate review
A first read of every certificate against your requirements
Write down what a passing certificate has to show, such as your limits and additional insured wording. Each certificate PDF uploaded after that gets marked Passed Review or Failed Review. Hover the badge to read why.
• Who hears about it: the people you pick get an email for each upload, with the review result
• What it reads: PDF certificates. Other files still attach without a review, and a blank prompt turns the review off
• Who decides: you. The review doesn't approve or reject anything, so it's a first pass before your own compliance check

Expirations
See which certificates expire next, across every job
The Contractor Insurance Expiration report lists every policy and contractor license in the directory, with the company, project, policy type, dates, and whether it has expired. Sort it by expiration date and you know who to call this week.
• A heads-up every Monday: select the bell to get a weekly email of policies and licenses that expire in the next two weeks or already have
• The owner or lender wants proof: Actions, then Download All merges the certificate PDFs for the rows you've filtered into one file
• For your own tracking: download the grid as a PDF or CSV

At signing
Collect the certificate before the sub signs
Require insurance when you send a subcontract for signing. The sub uploads the certificate as part of signing, and with a Review prompt set, signing waits on Reviewing your insurance until the AI review finishes.
• Where it goes: the certificate attaches to the company's policies for that project
• What it covers: insurance requests apply to commitments, not purchase orders or change orders

Project team
Staff the job from the directory
Add the client, consultants, and subcontractors to a project from the directory, or create the company and its people right there. Each sub on the roster shows its commitment titles, or its trades if it has none yet.
• Lining up the team before kickoff: list people without project access, grant access without an email, or grant access and send the invite
• Buying out the job: create the sub's commitment, or the owner's prime contract, as you add the company
• The contact sheet: Download Team CSV, or Copy All Emails to Clipboard for a distribution list
