Global Directory Help

Manage organization companies, people, and invitations.

Use this guide to maintain the organization-wide companies and people that can be added to projects. Global Directory is the shared contact pool; adding someone here does not add them to a Project Team or grant project access.

Common task recipes

  • Add an employee: Open Global DirectoryPeopleAdd Person, add them to your organization, choose a Permission Level, and optionally send the invitation.
  • Add a subcontractor contact: Create or open the company under Companies, then add the person to that company.
  • Reinvite someone who cannot sign in: Open their profile and select ActionsReset password and reinvite.
  • Remove someone who left a company: Open their directory profile and use Deactivate user.

Find and add directory records

Find companies and people

Search before creating a record so one company or person does not acquire duplicate histories.

To find a company, open Global DirectoryCompanies, search by name, filter by Type, and open the company profile. The grid includes Name, Trades, Type, Active Members, and Date Added.

To find a person, open Global DirectoryPeople and search by name, email, or job title. The grid includes Name, Email, Role, Job Title, Company, and Status.

Contact details require the separate View contact information like email address and phone number permission.

Inside a company profile, its People panel shows the count in the heading and gives you two ways to read the roster. Card view puts each person on a card with their contact details, which suits a short list. Grid view turns it into a sortable table of Name, Role, Email, Phone, Job Title, Bidding Contact, and Invoice Contact, which is what you want on a large subcontractor and what you'd export to PDF. Constructable opens large rosters in Grid view and remembers whichever you last chose for that company. Both views share the same search — Search by name, email, or job title... — and the same Add Person action.

Add and maintain companies

  1. Open Global DirectoryCompanies.
  2. Select Add Company.
  3. Enter the required Name.
  4. Add Type and Website when known.
  5. Review similar-company suggestions and duplicate-name warnings.
  6. Select Add Company.
  7. Open the profile to add details, trades, logo, compliance information, insurance, notes, and people.

If a company has no type when it is first added to a project, the selected Project Team category supplies its type.

Merge duplicate companies

The same subcontractor gets added twice — once as "Ace Mechanical" and once as "Ace Mechanical Inc." — and now their commitments sit under one record and their insurance under the other. Merging folds the two into a single company and brings the history with it.

  1. Open Global DirectoryCompanies and open the profile of the company you want to get rid of.
  2. Open Actions and select Merge Company.
  3. Pick the company you're keeping, then select Merge Companies.

Direction matters, and it's easy to get backwards: you start from the company that's going away, and the one you pick in the dialog is the one that survives. People, commitments, payments, project associations, attachments, bids, bid tags, insurance policies, daily log personnel, delivery, dumpster and inspection entries, receipts, and prime change order third-signer assignments all move to the surviving company.

Warning: The company you started from is deleted and can't be restored. Confirm you're on the right profile — the dialog names it in both the heading sentence and the red warning above the buttons.

Merge Company is Admin-only by default, under Merge companies in the organization global directory in Roles and Permissions. It's separate from adding companies, so someone who can create a company won't necessarily be able to merge one.

Why is my merge rejected?

If either company is linked to a vendor in your accounting integration, we stop the merge and say companies with integration entity links cannot be merged — combining them here would leave the accounting side pointing at a record that no longer exists. Duplicate vendors on a connected organization have to be resolved with Constructable support. A company that's already an alias of another one is also blocked.

Can I undo a merge?

No. Nothing in the interface reverses it, so read the dialog before you confirm.

Add a person

  1. Open Global DirectoryPeople.
  2. Select Add Person.
  3. Choose whether the person belongs to your organization or an outside company.
  4. Enter First Name, Last Name, and Email Address.
  5. Add phone numbers and Job Title when known.
  6. Choose the required Permission Level.
  7. Leave Send Email Invitation selected to invite now, or clear it to create the membership without email.
  8. When inviting, select Next Step, review the email, keep the invitation-link field, and select Add and Send.

If the email already belongs to a Constructable account, the account's existing name and phone number are retained. A previously inactive membership can be reactivated through this flow.

Note: A person cannot have an active organization membership and an active company membership in the same organization. Deactivate the existing membership before moving them.

Maintain people and access

Reset a password and reinvite

  1. Open Global DirectoryPeople.
  2. Open the person's profile.
  3. Select ActionsReset password and reinvite.
  4. Review and send the invitation.

This action resets the password, clears last-login state, disables MFA, re-enables email delivery, and sends a new invitation. Use it only when the person needs a fresh sign-in path. Project access remains separate.

Add or remove someone's projects from their profile

Staffing usually starts from a project and works outward. Sometimes it runs the other way — someone new starts Monday and you need them on four jobs, or someone moves off one and you're not sure which ones they're still on. Their directory profile answers both from one page.

Open the person's profile and look at the Projects panel. It lists every project they're on with the Role they hold there, and marks anyone who hasn't been invited yet with (not invited).

To add them to a job:

  1. Select Add to project.
  2. Choose the Project.
  3. Pick the Project access they should get:
    • Add to project team only puts them on the roster without granting access, which is what you want when you're building a team ahead of a kickoff.
    • Add to team and grant project access lets them in without emailing them.
    • Add to team, grant access, and send an invitation does both and sends the invitation now.
  4. Save.

To take them off one, select the remove icon on that project's row and confirm. That removes them from the single project and leaves their directory membership and every other project alone — which is the difference between reassigning somebody and offboarding them. To do the latter, use Deactivate user.

Note: Add to project is only offered for active people. Reactivate a deactivated person before staffing them.

You now have one place to see and change everywhere a person is working.

Change a role or deactivate a person

Change an internal person's organization role or an external person's Company Role on their directory profile. Changing an external company role also updates that person's role on active projects.

To deactivate:

  1. Open the person's profile.
  2. Select ActionsDeactivate user.
  3. Confirm.

Deactivation stops sign-in and removes the person from every project, while preserving their comments, records, and history. Removing someone from only one job belongs on that project's Team page.

Troubleshooting

Troubleshoot Global Directory

Global Directory is missing

Your role needs Access the global directory, view people and company profiles.

Email or phone information is hidden

Your role also needs View contact information like email address and phone number.

Add Company or Add Person is missing

Add Company requires company-directory write permission. Add Person appears only when you can add at least one eligible internal, external, or Admin role.

A duplicate-company warning appears

Compare the suggested company's name and website. Use the existing record when it represents the same business.

A person is already a member elsewhere

Open their current organization or company membership and deactivate it before adding them to the new place.

Someone accepted an invitation but cannot see a project

Directory membership and sign-in do not grant project access. Add the person from Management ToolsTeam in the intended project, or from Add to project on their directory profile.
