Folders and templates
Start every job with the same folders
Each project has one folder tree for its files. Drag in files or a whole directory from your computer, and Constructable recreates its folders, including the empty ones.
• Your standard layout: Import Folder Structure copies another project's folders and their sharing, without the files, and merges folders that already exist
• New jobs: create a project from a template project and its folders come with it
• At a glance: folders list first, names sort in number order, and a filled folder icon shows which folders hold files
• On desktop: the table shows who each folder is shared with, when each file last changed, and its size
Folder permissions
Share each folder with exactly the right people
Share a folder with Only me, everyone at your company, or everyone on the project, then add specific people by name. Its subfolders and files follow the folder.
• Owner and closeout files: keep the folder to your company and add the owner's reps by name
• Sensitive files: give them their own top-level folder, because a subfolder can't be more private than the folder it sits in
• New folders stay in-house: a new top-level folder is shared with your own company until you change it
• Who can delete: deleting is its own permission, separate from uploading and moving, and you can limit it to the files and folders each person created
Open, download, and share
Hand off a stack of files in one link
Select the files a sub or the owner needs and choose Share Selected Download Link. Constructable packages them into a ZIP and gives you a link anyone can download it from.
• Reading a PDF: it opens in Constructable's viewer beside the folder list, where you can zoom, select and copy text, and download it
• Pulling files down: download one file, a whole folder with Download All, or the rows you select
• Pointing a teammate to a file: Copy Link opens the live file or folder for anyone who already has access to it
• Cleaning up: move or delete the rows you select. Moved files take on the sharing of their new folder
Search and AI answers
Find a file by what it says, not where it's filed
Project search reads the text on the pages of your PDFs. Search tieback and you get page 4 of the geotech report, the encroachment permit, and the shoring calculations, wherever they're filed.
• Every page that matches: results show the page number and highlight the words, next to matching drawings, RFIs, submittals, photos, and other attachments
• Only what you're allowed to see: search returns only files and records your permissions let you open
• A question instead of a keyword: Ask Question gives one answer with links to its sources, and the Agent keeps the conversation going
• A bigger question: Deep Research works through documents, drawings, RFIs, and submittals before it answers

Drop a project directory from your computer onto Documents. Constructable recreates its folders and skips exact copies of files already there, so a dropped connection doesn't double anything.
Set sharing once per folder
Choose who sees each top-level folder, and every file you upload into it follows that folder's sharing.

Frequently Asked Questions
Can owners, architects, and subcontractors see only the folders I choose?
Yes. Share each folder with Only me, Anyone at your company, or Anyone with access to the project, and add specific people from outside your company by name. The folder's subfolders and files follow its sharing, and people it isn't shared with don't see it.
What happens if someone uploads a file with the same name as an existing one?
Uploading never replaces a file. If the name is taken and the contents are different, Constructable keeps both and saves the new one as Name (1).pdf. If the file is an exact copy of one already in the folder, it's skipped, so dropping the same folder in twice doesn't double anything. Documents doesn't keep a version history of a file. Can I reuse our standard folder structure on every new project?
Yes. In Documents, choose Actions, then Import Folder Structure, and pick another project. Constructable copies its folders and their sharing, without the files, and merges folders that already exist. You can also create new projects from a template project, and its folders come with it.
Can I send a set of files to someone outside the project?
Yes. Select the files and choose Share Selected Download Link. Constructable packages them into a ZIP with the name you give it and gives you a public link, so anyone you send it to can download the files without a Constructable account. The package is a snapshot, so make a new link after the files change. Copy Link is different: it opens the live file or folder only for people who already have access to it.
Can I find a document without knowing which folder it's in? Does search read the text inside PDFs?
Yes. Project search reads the text on the pages of your PDFs and shows each matching page with the words highlighted, along with matching drawings, RFIs, submittals, photos, and other attachments. Can I open documents on a phone or iPad in the field?
Yes. The Constructable app for iPhone, iPad, and Android has the same folders and sharing as the desktop. Tap a PDF to read it on the device, and use Add Documents to upload files from the field.
Who can delete files, and can deleted files be recovered?
Deleting is its own permission, separate from uploading, renaming, and moving, and you can limit it to the files and folders each person created. Deleting is permanent: there's no restore, and deleting a folder deletes everything in it. See Roles and permissions in the Help Center.
Is document management included in every plan?
Yes. Documents come with every plan, starting with Field Management. Every plan is a flat monthly rate with unlimited users, so owners, architects, and subs you share folders with don't add to your bill. View our pricing page for more details.
How is this different from drawing management?
Documents holds the project's files in folders you set up. Drawings and specs have their own tools built for them, with sheet and section revisions and the current set on every device. See our construction drawing management software and construction specification management software.
